Your records know the answer. Nobody can reach it in time.

GAPAI is an AI consultancy for SMEs and MNCs. We study how your business actually runs, find the gap that costs you most, and build SaaS or a custom system to close it.

What the name GAPAI means

GAP + AI

In English, the distance between knowing AI could help and having it working inside your business.

Gapai gah-pai

In Malay, to reach for something within sight but not yet in hand. We build the reach.

We find the gap first.
Then we build what closes it.

Every business leaks time and money in a different place. We spend time inside yours before we suggest anything, so what we build fits how you already work.

Real gaps from businesses we have worked with

  • Orders come in on WhatsApp, and one spreadsheet gets passed between departments all day. Nobody knows who changed what.

Built: One control centre where each team sees its next job and every change is logged.

    Concrete manufacturerOperations

  • Every supplier claim gets typed three times: into email, the ERP, then Excel for finance.

Built: Invoices checked against the purchase order, and one cash flow across every project.

    Project contractorFinance

  • Monday's sales meeting runs on figures from last Wednesday.

Built: A sales report that closes on Sunday and is ready before the Monday meeting.

    ManufacturerReporting

  • Sales meeting notes stay in each rep's notebook, so the boss never sees the full pipeline.

Built: Reps drop in the meeting recording and get minutes; the boss gets one pipeline view.

    ManufacturerSales

  • A week after posting a job, there are hundreds of CVs and no time to read them.

Built: CVs screened against the manager's own criteria, with a shortlist ready to call.

    ManufacturerHiring

  • Best-sellers were missing from the shelves while stock sat in the warehouse.

Built: An owners' dashboard that shows which fast-sellers need moving to the floor.

    Retail franchiseStock

  • Our system can't email invoices, so staff split one big PDF and send them one by one.

Built: One invoice pack per customer, a person approves the batch, and every email is logged.

    Concrete manufacturerBilling

  • Staff claims arrive on paper with notes in the margin, and someone retypes every one.

Built: Snap the receipt, confirm what was read, and let the rules check limits and deadlines.

Company of about 200 staffHR admin

  • A clerk keys RM12,000 instead of RM10,000, and nobody notices until month end.

Built: Every receipt checked against its deal before the deal can close.

Inside two systems we built

Hire to retire, one connected system.

HR for a manufacturer. One file per person from job posting to exit clearance, and a dashboard that reads across all of it.

Mistyped receipts, caught before the money moves.

A currency exchange desk. Every figure is checked before the deal closes, and stalled deals and low stock go straight to the boss.

The boss's morning view: today's deals, money to collect, and what needs attention first.

How we work

You see a working version before you commit to the full price.

  1. We watch the work

A walkthrough with the people who do the job.

  2. We show you the shape

What we would build, what it costs, what it will not fix.

  3. You try it first

A working version on your own data, before the full fee.

  4. You own it

The system and its guide are yours. Call us whenever you need help, but you are never tied to us.

Questions we get asked

What do you actually build?

Software that holds one specific part of how your business runs: an operations desk, a records system, a check that stops an error before it costs you. It is built for your business rather than configured from a template, because the template is usually why the last system went unused.

What does it cost?

It depends on what we find, so there is no price list. The order is fixed: you get a quote before we build, and you try a working version before you pay the full amount.

How long does it take?

A first working version usually takes weeks, not months, because it covers one real problem rather than everything at once. The full build depends on how many parts of the business it touches.

What do you need from us?

A walkthrough of how the work gets done, read access to the systems you already use, and time with whoever knows where the problems are. Nothing new for your team to install while we look.

Do we own what you build?

Yes. It is documented and handed over, and your team or any other developer can carry it on. Nothing locks you to us.

Is my business too small for this?

If someone spends hours each week moving the same information between two places, there is something worth building. If nobody does, we will tell you that instead of selling you something.

Tell us what is not working.

A conversation, not a pitch. If we are not the right people, we will say so.
